How verification works on MedixCart

Verification, certification and quotation are the product. Here is what we check, when, and what you see as a buyer.

Buyer licensing

Only licensed healthcare facilities and distributors can order. When a facility registers, we collect and check:

  • Trade licence and VAT registration (TRN) for tax invoicing.
  • Facility licence from the relevant health authority: DHA (Dubai), DoH (Abu Dhabi) or MOHAP (Northern Emirates).
  • For distributors, the MOHAP medical warehouse licence.

Signed-in users can browse and build quote requests straight away, but placing an order requires a verified facility. Licence expiry dates are tracked, and we ask for renewals before they lapse.

Seller KYC

Every seller is reviewed by MedixCart compliance before any listing goes live:

  • Trade licence, establishment card and VAT certificate.
  • MOHAP medical warehouse licence for storing and distributing medical devices.
  • Manufacturer authorisation or distribution agreement where the seller is not the manufacturer.
  • Authorised signatory identity (stored encrypted, never shown publicly) and bank letter for payouts.
  • Signed seller agreement: 2% commission on completed orders, no listing fees.

Sellers who lose a licence or fail to renew are suspended, and their listings are hidden from the catalogue automatically.

Per-listing certification

Each product is reviewed individually. Before approval we check:

  • A quality or market certificate for regulated devices: CE (EU MDR / MDD), FDA 510(k) or registration, or ISO 13485, uploaded and not expired.
  • The UAE device registration number (MOHAP) for medical devices.
  • Manufacturer, model number, country of origin and device class.
  • Instructions for use and datasheets where available, published on the product page.

Certificate expiry is monitored. Listings with an expired certificate are flagged to the seller and removed from sale until renewed.

Importer of record

Every product page states who is responsible for the product in the UAE. Either the seller is the importer of record, holding the registration and post-market obligations, or the product is supplied from locally registered stock. For our exclusive brands, AUG Medical and Clove Dental, MedixCart is the importer of record.

Restricted products

Some products, such as imaging equipment or devices that require specialist handling, are marked Restricted. Only facilities that MedixCart compliance has cleared for controlled devices can quote or order them. If you need access, contact us from your account with the relevant licence and we will review it.

Batch and expiry traceability

For batch-tracked products, sellers record the lot number, serial range and expiry date shipped against every order line. Buyers see these details on the order and the tax invoice, so stock can be traced from receipt to patient use.

Recalls and field safety notices

When a manufacturer or authority issues a recall, MedixCart identifies every buyer who received the affected lots using the batch records above, notifies them by email, WhatsApp and in-app message, and shows the notice on the product page until the recall is closed.
